1. Who we are

Role Canary, Inc. ("Role Canary", "we", "our", "us") operates rolecanary.com and the Role Canary job ad compliance platform. For users in the EEA, Role Canary BV (Keizersgracht 482, 1017 EG Amsterdam) acts as the data controller.

2. What data we collect

• Account data: Name, work email, company name, job title
• Billing data: Billing address and payment method metadata (processed by Stripe — we never store card numbers)
• Usage data: Job ad URLs submitted, scan results, feature usage, login timestamps
• Communications data: Support messages and contact form submissions
• Technical data: IP address, browser type, OS, referring URLs

We do not process candidate personal data. Role Canary only analyses the publicly available text of job advertisements.

3. How we use your data

• Provide, maintain, and improve the Role Canary platform
• Process payments and send billing communications
• Send service notifications, compliance alerts, and product updates
• Respond to support requests
• Monitor performance, detect fraud, and ensure security
• Comply with legal obligations
• With your consent: send marketing communications

5. Data sharing and subprocessors

We do not sell or rent your personal data. We share data only with vetted subprocessors: AWS (infrastructure), Stripe (billing), Postmark (transactional email), Intercom (support chat), and Datadog (monitoring). A full list is available at rolecanary.com/subprocessors.

6. International data transfers

If you are in the EEA, your data may be transferred to the United States. We rely on Standard Contractual Clauses (SCCs) approved by the European Commission to ensure adequate protection.

7. Data retention

Account data is retained for the duration of your subscription plus 12 months. Scan results are retained for 12 months by default. Billing records are retained for 7 years as required by law. You may request deletion at any time.

8. Your rights

You may have rights to access, correct, delete, restrict, or port your data, and to object to processing. To exercise any right, email [email protected]. We will respond within 30 days.
